Terms & Conditions of All Cool Travels
1. Booking with All Cool Travels
You enter into a contract with All cool Travels when we have confirmed you a tour package of your choice after receiving your signed booking form and deposits. While filling the form do ensure that all the section are correctly filled and no mandatory section is left out. All cool travels only accept signed form as it is the proof that you and all those traveling with you accept our booking terms and condition and hence making a contract with us.
2. Deposit
Along with your signed booking form, you need to deposit 25% amount of the tour cost per person to the company.
3. Payment Options
Our clients can make payment to All Cool Travels, in cash, or by cheque, Demand Draft, Credit card or electronic money transfer. A surcharge of 3% will be taken on the payments made by credit card and it will be added to your invoice. If you make a tour booking 10 or less than 10 working days in advance you need to deposit full amount at the time of booking.
4. Balance
After receiving your dully filled booking form and receiving the deposit, an invoice, along with a receipt for the amount already paid will be sent to you. The balance amount must be paid 28 days before departure. For all the bookings made within 14 working days you need to pay the full payment in advance at the time of booking. In the case of failure to pay the balance amount within the stipulated time your booking will be considered cancelled and cancellation charges will be deducted according to the cancellation policy.
5. Cancellation of Tour
If your or any member of your team needs to cancel their tour program you must communicate to us in writing. Your date of cancellation will be the date on which your request is received at our office. The person who has signed the booking form earlier must sign the cancellation request to keep it authentic. As cancellation incurs administrative cost and retention charges of the hotels, the cancellation charges will be applied on the following basis:

6. Changes in Travel Plans
If in any case you wish to change or rearrange your travel plans like time of departure, extending the tour for more days or changes in hotels and accommodation. We are willing to do our best for you but we can?t guarantee this as it is subject to availability.
7. Liability:
The company can't be held responsible for the services hired from the vendors like hotels, car/ bus or amenities mentioned in the tour package. As an operator of the package tour therefore, we cannot be held liable.
a) Where there has been no fault on the part of the company, supplier or agents.
b) Where the failures in performance of the contract are attributable to the customer.
c) Where the failures are attributable to a third party not connected with the provision of the holiday and are unforeseeable or unavoidable.
d) Where the failures are due to unusual and unforeseeable circumstances beyond your control.
e) Where the failures are due to an event which you or your supplier even with all due care could not foresee or foretell.
However we do work hard to maintain our standards and ensures quality service to our clients. The information given on our website has been compiled with utmost care and is correct to the best knowledge of the company and is published in good faith.
8. Complaints
All Cool Travel work hard to ensure its passengers a good travel experience during their holidays, but some times even well chalked out plans can go wrong. However, we have a support team at All Cool Travel to sort out any problem at the earliest. If you think that your complaints has not been resolved to satisfaction, you can write to the company within 28 days. Disputes if any, shall be subject to Jurisdiction in Delhi, India only.
9. Passports & Visas
A travel to India from overseas requires 06 months valid passport and a valid Visa. Processing charges of Passport and Visa are not part of the tour cost. It is not essential for travelers from Nepal and Bhutan.
10. Health
A tourist suffering from a contagious disease should refrain from travel. If any person found traveling with a contagious disease he/she will be asked to leave the tour immediately. He/she will have to make his/her own arrangements for further travel.
11. Early Check-in / Late Check ?out
Check-in / Checkout time in all the standard hotels across country is 1200 Hrs. (IST) and hence the tariff for early check-in or Late checkout is not the part of the tour cost. However we request for early check-in or late checkout to the hotel but we can't ensure as it solely depends upon the hotel?s policy, and room availability.
12 Uses of our Vehicle:
Charges of the vehicle (car / coaches with the driver) is not part of the tour cost:
- Usage of vehicle like after transfer or after sightseeing until or unless it is mentioned in the itinerary.
13. Amendment in Itinerary
You will fully adhere to the tour plan we have finalized earlier. But in the wake of unforeseen events and circumstances, we do reserve the right to change whole or parts of your itinerary to ensure the safety of our esteemed clients.
14. Surcharge
The Cost of your tour is subject to revision in case of sudden rise in fuel prices, airfare and any raise in taxes by the government. If such a conditions arises we will be absorbing 2% of surcharges. A surcharge more than this will be charged to customers.
15. Our Liability
At All Cool Travels we are liable for only those arrangements that are directly in our control. We accept liability of the negligence of our agents and employees. But we can?t be held liable for the circumstances that are not in our direct control.
All Cool Travel, in no circumstances whatsoever be, held liable for: Any death, personal injury, sickness, accidents, loss delay, discomfort, increased expenses, consequential loss and / or damage or theft howsoever caused.
Any act, omission, default of any independent contractor or other person or by any servant or agents employed by them who may be engaged or concerned in the provision of accommodation, refreshment, carriage facility or service for the client or for any person traveling with him howsoever caused.
All Cool Travel is unable to take liability for commercial arrangements out of our control such as natural disasters, industrial disputes, reason of threat or war, riots, civil strife, terrorist activities, technical problems to the transport, extreme weather conditions, closure of the airports and sea ports and similar event out of our control, or are due to unusual and unforeseeable circumstances beyond your control.
